Fall 2022 Schedule Management
Our Fall 2022 schedule is managed using Notion. We moved our entire schedule management system from Jira to a mix of an in-person whiteboard for short-term schedule and task management and Notion for long-term schedule and milestone management. With this change, our project management style has shifted from a pure Agile system with two week sprints to a hybrid system between Agile and traditional project management with standup twice a week, with higher-level milestones in the schedule (no discreet sprints). After every standup meeting (Monday morning and Thursday afternoon), the whiteboard would be updated by all team members. An example of the whiteboard schedule and task management is shown below.
Fall 2022 Schedule
Below is a Gantt Chart showing our Fall 2022 schedule. Since we changed our project management and schedule system for the Fall 2022 to a more hybrid system, we found Jira’s Roadmap feature to be too restrictive, and found Notion to be more flexible for schedule management. The schedule has multiple subsystems progressing in parallel with high-level milestones set throughout the Fall semester as shown below.
Spring 2022 Schedule Management
Our Spring 2022 schedule was managed using Jira for both long-term and short-term schedules. For our long-term schedules, we have a Gantt Chart created on the Roadmap feature. For our short-term schedules, our team plans 2-week sprints where our tasks are put onto a Kanban Board and managed by the team as we progress through our sprint. An example of what our Kanban Board looks like during a sprint is below. Once tasks are completed by an individual, they must be reviewed by at least one other team member before being marked fully complete.
Spring 2022 Schedule
Our Spring 2022 Schedule was originally created on a Gantt Chart in a Google Sheets spreadsheet as shown below.
When we migrated our project/schedule management to Jira, we decided to also migrate our Spring 2022 Schedule also to Jira on the Roadmap shown below. The schedule is divided up to align with our sprints which are aligned with the progress reviews. The tasks are arranged such that the goals discussed in the Test Plans are achieved by the designated progress review. The overarching goal of the Spring semester is to build the core subsystems and start integration between some of these subsystems.
